Streamlining Service Delivery: A Scalable Salesforce Solution for a Fast-Growing Indigenous-Owned Enterprise

Client Overview

A leading, 100% Australian Aboriginal family-owned business, this organisation has been delivering traffic management, labour hire, recruitment, and training services across Australia since 2004. With headquarters in Queensland and a workforce of over 500 employees, the company operates in key industries such as civil infrastructure, building and construction, and commercial projects. Experiencing consistent growth at a rate of 8% annually, the business manages more than 17,000 service requests each month, reflecting its strong market presence and operational scale.

The Challenge

As the business expanded, its existing service management processes became increasingly difficult to scale. Service requests spanning teams such as bookings, planning, HR, onboarding, office operations, safety, and incident management were being handled primarily through email. This resulted in inefficiencies, manual data entry, inconsistent tracking, and delays in cross-functional communication.

Additionally, the organisation was using five different service applications to manage its workflows, making it difficult to maintain visibility, ensure data integrity, and coordinate across departments. The lack of automation and integration limited the team's ability to respond quickly and effectively to client needs.

Our Solution

To address these challenges, the organisation implemented a Salesforce-based solution anchored by a custom-built, intelligent mail parser. This parser was designed to automatically extract key information, such as client details and service request specifics, from incoming emails. It then routed this data into structured workflows within Salesforce.

The system was deeply integrated with several core platforms, including Traffio, to ensure seamless data exchange and task automation. Each service team (e.g. bookings, HR, safety) now operates through a unified interface with role-specific functionality and visibility. Automation was introduced to streamline task assignments, reduce manual processing, and improve response times.

The Outcome

The new solution transformed the way service requests are managed. Key outcomes include:

  • 85% reduction in manual data entry across service teams
  • Faster response times, with automated routing ensuring immediate task visibility
  • Improved data accuracy and a centralised audit trail for all service interactions
  • Enhanced collaboration between teams with a single source of truth
  • Scalability to support continued growth, ensuring the business can manage increasing volumes without increasing administrative overhead

With Salesforce at the core, the organisation has significantly increased its operational efficiency, enabling it to deliver higher quality service while staying true to its values and community-focused mission.
